What is a Full Service Wedding Planner?

A full service wedding planner is someone who is with you from the very beginning of your wedding planning journey. You typically will get engaged, figure a budget and rough guest count, and then get in contact with your preferred wedding planner to handle the rest. They will be there with you every step of the way, all while navigating your personal style as a couple. In my Full service package, I handle things such as:

Before the Wedding:

  • Reception and Venue Scouting

  • Vendor Recommendations, Reviews, and Negotiations

  • Contract Review

  • Budget Tracking

  • Creation Of Theme and Execution Of Design With Venue and Decorator

  • Timeline Creation for Pre Wedding and Wedding Day

  • Managing Save the Dates, Invitations, and RSVPs

  • Wedding Website Creation

  • Marriage License Procurement

  • Vendor Communication and Check ins

  • Attendance at Vendor Meetings

  • Facilitating Rehearsal Ceremony

  • Unlimited Meetings With Me, with a guaranteed monthly meeting starting 6 months before your big day (in person or Zoom) to ensure we are on track

  • 6 Weeks Before Your Big Day, a Weekly Meeting to ensure we are on track

The Big Day

  • Full Day of Coordination. When Your Day Starts, Mine Does Too.

  • Manage Ceremony Processional

  • Coordinating the Set Up Of Ceremony and Reception Décor and Helping Where Possible

  • Set Up Of Personal Wedding Accessories Such As Guest Book, Seating Chart, Favours, Welcome Bags place cards etc…

  • Bouquets and boutonnieres where they need to be

  • Assisting guests when needed

  • Point of Contact for all vendors and everyone in the wedding party (parents included)

  • Emergency day-of kit available for every vendor, wedding party attendant, and guest

  • Mitigating any unforeseen circumstance without the panic of the couple getting married (where possible)!

  • Distributing final gratuities to vendors (MUST be in clearly labelled envelopes before hand)

What is a Day Of Coordinator?

A better term for day of coordinator is more like “month of coordinator” or even better, “Event Manager”. Unlike the name suggests, my day of coordination package begins 8 weeks before you walk down the aisle. A coordinator is someone who is there to dot the i’s and cross the t’s. You’ve handled all of the wedding planning stresses and just need that someone to tie it all together and make sure your day runs as smooth as possible without you having to act as executive project manager. While you may be the most type A individual out there, I promise you don’t want to be coordinating one of the biggest days of your life! In my coordinator package, I take care of things such as:

Before the Wedding:

  • Timeline Creation for Getting Ready, Ceremony, and Reception.

  • Vendor Communication and Check ins 6-8 Weeks Before

  • 3 Planning Meetings (Including Introductory/Foundations Call)

  • Facilitating Rehearsal Ceremony

  • Wedding Binder Provided at Both Getting Ready Locations As Well As Venue/Reception Location, With ALL Information You or Vendors Could Possibly Need (Timelines, Photo Lists, Contracts, Wedding Party Responsibilities, Décor Mockups, etc…

The Big Day

  • 10 Hours of Coordination for the Big Day (more hours available for an additional fee)

  • Manage Ceremony Processional

What is Partial Planning?

Partial planning is for the couple that still wants a hands on approach to planning their wedding day, but wants some of those major stressors off of their shoulders such as vendor procurement, and management. Partial planning also includes budget management, timeline creation, rehearsal walk through, and day of coordination.

Before the Wedding:

  • Creating a Budget That Makes Sense For You and Your Partner.

  • Working With You To Find All Of Your Vendors, Within Your Budget. I Take Care Of All Communications Between Potential and Secured Vendors.

  • Timeline Creation for Getting Ready, Ceremony, and Reception.

  • 4 Planning Meetings (Including Introductory/Foundations Call)

  • Facilitating Rehearsal Ceremony

  • Wedding Binder Provided at Both Getting Ready Locations As Well As Venue/Reception Location, With ALL Information You or Vendors Could Possibly Need (Timelines, Photo Lists, Contracts, Wedding Party Responsibilities, Décor Mockups, etc…)

When is the Best Time To Hire You?

For a full planning package, it is best to get in contact at the beginning of your wedding planning journey!

For a day of coordination package, I would advise getting into contact at least 6 months before to secure your date, but I will accept a booking from at least 10 weeks before your wedding day.

Essentially, earlier is better for any package so I can fully be immersed in your vision and understand you and your partner’s wedding day like the back of my hand!

Where Are You Located and Where Do You Service?

I am located in the West-End of Ottawa. I service the entire Ottawa/Gatineau area as well as the entirety of the Ottawa Valley.

How Do I Secure My Date?

Once you have your FREE consultation meeting with me and decide I’m your gal for whichever package you choose (spoiler, I definitely am!), a 50% non refundable deposit is required to have my services rendered. The remaining 50% will be due 2 weeks before your wedding day.

What If You Are Sick or Have An Emergency On My Wedding Day?

This has not happened to me yet, and I don’t plan on it! BUT if it did (it won’t) a replacement coordinator will be assigned to your day, who knows the day just as well as I do. If permitted, I will also be in contact with them the entire day, wherever I may be during an emergency or sickness.

Do I Need a Planner Even If My Venue Has a Coordinator?

YES! A venue coordinator is there to coordinate your event on behalf of that venue. They will take care of the details surrounding the space (eg: cleanliness, chairs/tables are where you want them, food and beverage contract is being followed, if provided by venue, etc…). A Wedding coordinator is there on behalf of YOU as the couple. I work for the bride and groom, and the bride and groom only. A wedding planner/coordinator will be responsible for the following during wedding week and day that the venue coordinator likely won’t oversee:

  • Finalize the personalized timeline and confirm all vendors

  • Run the ceremony rehearsal

  • Direct the ceremony processional

  • Set up all decor and personal items including menus, programs, escort cards, guest book, favors DIY items, etc.

  • Bouquets and boutonnieres are where they need to be

  • Assist with wedding photos and photography shot list

  • Act as the point of contact for all vendors.

  • Assist the wedding party and guests as needed

  • Distribute final payment and gratuity to vendors

  • Provide a fully stocked emergency kit

  • Deal with any unforeseen problems that may arise

  • Manage the timing of the entire event to ensure the day runs smoothly.

Essentially, if you want to just have the venue coordinator, no problem! Just make sure to ask what their responsibilities are on the day, and days leading up!
